BESCA Board Roles

President – 2 year term
The President works with the Principal to schedule all association activities, appoints all committee chairs, coordinates the work of officers and committees in implementing all BESCA programs and events, and represents the association at the district level. This individual presides at all Board and General Membership meetings, sets the annual meeting schedule, prepares Board and General Membership Meeting agendas and maintains legal documentation, district renewals, and insurance policies for the association. S/he may serve in other capacities as needed, in order to support the association. For more information about this role, contact president@mybesca.com.

Vice President of Communications – 1-year term
The VP of Communications manages BESCA communications, including email and social media posts. They serve as Parliamentarian for the organization, utilizing Robert's Rules of Order or Democratic Rules of Order. In addition to oversight of select committees, s/he assists the President as needed and performs the duties of the President in his/her absence.

Vice President of Community Events – 1-year term
The VP of Community Events works with the President and school administration to schedule and coordinate various community events throughout the school year. They work with the VP of Communications to publicize events and assists select committee chairs with planning and budgeting, under the guidance of the President. Skills required: Strong organization and follow through, willingness to recruit help, and ability to work within the event budget.

Vice President of Technology – 1-year term
The VP of Technology manages BESCA’s website and administers the communication platform. They maintain the BESCA Board email and file storage system, creates and updates forms, and regulates product sales on the BESCA shop.

Vice President of Volunteers – 1-year term
The VP of Volunteers works with select committee chairs to recruit and organize volunteers for specified programs, events, and to support school needs. They coordinate the efforts of room parents, including holding room parent meetings and organizing room parent communications.

Income Treasurer – 2-year term
The Income Treasurer works with the President and Expense Treasurer to create the annual budget and ensures that all financial checks and balances occur. They coordinate income procedures with appropriate committee chairs, organizes the annual financial review, and supports the Expense Treasurer as needed.

Expense Treasurer - The Expense Treasurer is responsible for financial record keeping of all BESCA expenses. The primary responsibilities include booking expenses, cutting checks, providing petty cash at events, financial reporting, reconciling monthly bank statements and auditing the BESCA deposits for accuracy.

Secretary – 1-year term
The Secretary records minutes at the Executive, Advisory, and General Membership Meetings. They keep a record of attendance and provides the General Meeting packet to attendees. In addition, the Secretary maintains BESCA’s record-keeping system.

Monthly Meetings:

  • 1 Executive Board Meeting (day & time TBD) 

  • 1 Advisory Board Meeting (1st Monday, 2:30-3:30 pm)

  • 1 General Membership Meeting (2nd Tuesday, 7-8 pm)

  • Interested candidates must submit a Statement of Intent: 3-4 sentences about yourself, your connection to Booksin (i.e. grade of your child(ren)), and why you’re interested in being a BESCA Officer. 

    • Please email the Statement of Intent to the BESCA Secretary at secretary@mybesca.com before Spring Break.

  • Votes will be held at the April BESCA General Membership Meeting! Elections are held by ballot and majority vote rules. Write-in candidates will be accepted on the ballot for any position for which a candidate has not been established by the vote.
